Privacy policy
Effective October 9, 2026
This policy explains how Clarity Financial Systems handles information provided through this website and our Facebook and Instagram lead forms, and when you contact us about bookkeeping services.
Information you provide
Our website forms collect your name, email address, company, service needs, message, optional phone number, accounting software, bookkeeping status, and whether you choose to receive marketing updates. Our Meta lead form collects your name, email address, phone number, company name, accounting software, and bookkeeping status. Meta may prefill these details from your profile; you can review them before submitting.
We also receive information you include in messages or follow-up conversations. Please do not submit passwords, Social Security numbers, payment-card details, bank-account numbers, or confidential financial documents through an advertising or general inquiry form. Access and document-sharing arrangements for paid services are handled separately.
How we use information
We record inquiry and appointment status to manage follow-up, including whether an appointment was booked or attended, whether the request fits our services, and whether a quote or engagement followed. Campaign tags help us understand which sources bring useful inquiries. Our embedded Calendly calendar reports a completed booking to our private workflow. Names, email addresses, phone numbers, and form messages are not sent to website analytics.
We use inquiry information to respond, discuss your bookkeeping needs, arrange next steps, and manage the services you request. Submitting an inquiry allows us to follow up using the contact details you provide; it does not commit you to a purchase. Paid work is scoped and quoted separately.
The website offers a separate, optional choice to receive bookkeeping tips and service updates. You can unsubscribe from those updates or ask us to stop marketing follow-ups. An inquiry by itself is not an enrollment in a marketing newsletter.
Service providers and third-party platforms
Information may be processed by providers used to host the website, route inquiries, manage customer communications, schedule appointments, or process a payment you choose to make. The website supports inquiry delivery through Zapier and Instantly when configured. Meta lead alerts use Zapier and email delivery. Calendly processes appointment information when you use our booking link. Payment services process payments you choose to make. These services process information as part of providing those functions.
If you submit a Facebook or Instagram form, Meta processes the form and makes your submission available to Clarity Financial Systems. Phone verification, when enabled, is handled by Meta. Meta also handles information under its own Privacy Policy. External payment, booking, and social-media services have their own privacy notices.
We may disclose information when required by applicable law or to respond to a lawful request, address fraud or abuse, or protect legal rights.
Website activity and cookies
Website hosting services may process technical information such as IP addresses, browser details, request times, and error logs to deliver and operate the site. When Google Analytics is enabled, the website measures page visits and actions such as inquiry submissions, diagnostic clicks, and booking clicks. Analytics may use cookies or similar technologies.
The website’s analytics implementation does not send the contents of inquiry fields to Google Analytics and disables Google signals and advertising-personalization signals. Google’s processing is described in its Privacy Policy. You can manage cookies in your browser and use Google’s Analytics opt-out browser add-on.
Retention and your choices
Retention depends on the purpose of the record, whether an inquiry becomes a client engagement, and applicable recordkeeping obligations. You can ask about information we hold, request a correction or deletion, or ask us to stop follow-up. Some records may need to be retained for legal, accounting, or dispute-resolution purposes.
Email charlesnutter2010@gmail.com, use our contact page, reply to a message from us, or message the Clarity Financial Systems Facebook Page. Identify your request as a privacy request and provide enough information to locate your inquiry. We may need to verify your identity before disclosing or changing records.
Security and policy updates
No internet transmission or storage system can be guaranteed completely secure. Keep sensitive financial information out of general inquiry forms and use the sharing arrangements agreed for your engagement.
We may update this policy as our services or data practices change. The effective date above identifies the current version. Contact Clarity Financial Systems using the options above if you have questions.
