QuickBooks cleanup preparation checklist

You do not need to fix your books before asking for help. A short overview of your software, affected periods, and deadlines makes the first conversation more useful. The introductory assessment is free and does not require financial documents or account access.

1. Describe the problem

Write down which QuickBooks product you use, whether the books are inaccurate or behind, and the last month you believe was reconciled. Note which reports or balances look wrong and any deadline from your CPA. If you are unsure, say so.

2. List the affected accounts and periods

Make a list of bank accounts, credit cards, payment processors, and loans that may need attention. Identify the months or years involved and any periods already covered by filed tax returns. Account names are enough for the introductory call; do not send account numbers.

3. Locate records for the later review

After the scope and secure sharing arrangements are agreed, relevant records may include bank and card statements, prior reconciliation reports, loan statements, payroll summaries, and supporting detail for unresolved receivables or payables. Your bookkeeper and CPA will confirm what is needed for your business.

4. Separate the call, the review, and the cleanup

The free 15-minute phone call discusses your situation, needed information, and the next step toward a scoped quote. It does not include a full file review. An optional $49 diagnostic provides focused written findings; cleanup corrections are separately scoped and quoted.

5. Confirm the handoff you need

Ask your CPA which reports, reporting basis, dates, and supporting schedules they need. Tell us who will answer questions about tax treatment. Before paid cleanup begins, agree on the accounts, periods, deliverables, exclusions, price, and expected timing.
